Envision UC Davis Program - Travel Information

Information for Envision Participants

The following travel accommodations will be covered for Envision UC Davis participants:

  • Depending on where you are located, we will provide reimbursement for travel:
    • If you are a participant living within the state of California, your meals and hotel will be provided. In addition, you will be reimbursed up to $300 for travel.
    • If you are a participant living outside of the state of California, your meals and hotel will be provided. In addition, you will be reimbursed for transportation costs according to the table below.

You must provide one of the following:

  • Airline receipt for fare and mandatory taxes/fees (original only).
  • Bus/train ticket (original only).
  • Mileage is reimbursed based on the home address provided during registration to the UC Davis Envision Team.
    • If you drive, you will be given a mileage reimbursement after the event. Mileage is calculated based on the total miles driven from your home university to UC Davis and back.
  • NOTE: All receipt must show "paid" or completed credit card transactions when a credit card is used. All receipts must have the form of payment (i.e., the last four digits of the card used) on the receipt permitted. Travel insurance is NOT a permissible reimbursement; however, scholars may purchase travel insurance for their trip at their own expense. 
  • Hotel accommodations will be covered for all accepted applicants.
  • The following meals will be included as part of the event:
    • November 6 - Evening reception with heavy appetizers
    • November 7 - Breakfast, lunch, evening reception with heavy appetizers
    • November 8 - Breakfast and lunch
Travel Not Covered by UC Davis
  • Any incidental charges at the hotel. UC Davis will cover room and taxes, not incidentals. You will be required to put down a credit card upon check-in.
  • Any travel outside of what is provided and listed above (i.e. airport parking, car rental, extra hotel nights, flight changes, etc..)
  • Any meals outside of those described above during Envision programming.

Frequently Asked Questions
  • What is the schedule of events?
  • The Envision program is an immersive 2 1/2 days (Thursday afternoon through Saturday). A finalized, detailed schedule will be provided to accepted participants closer to the program date.
  • When will I be notified of my application status?
  • Applicants will receive application status notifications in September 2025. After careful review of your application by the committee, you will receive a notice of accepted or denied or wait-listed. 
  • How do I get from the Sacramento airport to campus?
  • Details for on-site transportation will be clarified closer to the program date.
  • When should I plan to be in Davis?
  • Plan to arrive by 4:00 p.m. on Thursday, November 6, 2025. 
  • When should I plan to leave?
  • Plan to depart Davis after 2:00 p.m. on Saturday, November 8, 2025.
  • If I want to come earlier and/or stay later. Is that allowed?
  • Your lodging is paid for two nights in the designated hotel — Thursday and Friday. You are responsible for any lodging prior to and beyond these days.
